Use this base to organize your big day, everything from guest list management, venue shopping, hiring a caterer and researching a night-of hotel. Read my post on Medium for a detailed guide of how I used this base to plan my own wedding.

Guest List Management Table

This is where you'll spend the majority of your time in this wedding planning base. From building your guest list, tracking save-the-dates & invites, tracking gifts, assigning tables, and thank-you list management - this table has it all!

Features of this table:

  • **Relationship field - **Sort by relationship, like Groom's Family, Bride's Family, etc.
  • **A-list and B-list sorting - **decide which guests take priority, no hard feelings..
  • Save the Date tracking - track who you sent save-the-dates to.
  • **Invite tracking **- track who you sent invites to
  • RSVP form and tracking - Includes an RSVP form for your website, with entries added directly to your base. Switch between views to see who has said yes, no and yet to respond
  • **Rehearsal Dinner selection **- chose which guests will be included to the rehearsal dinner
  • **Wedding Gift and thank-you tracking **- track who got you what, and whether you have sent them a thank-you note
  • **Table Assignment **- use a Kanban style view to drag-and-drop guests to different tables

Venue Shopping Table

Use this table to track down that perfect venue. It can be confusing who offers what, how many guests can you have, whether you have contacted them, and whether they are available, etc. In a perfect world there would be ONE website that lists ALL of the possible venues so that you could sort by available date, budget, etc. That does not exist. Trust me, I looked high and low. You'll have to use multiple wedding venue shopping websites (theknot.com, herecomestheguide.com, weddingconnection.com, etc.) and they'll all have vague and missing information. You'll need to do your own digging to find the answers, but you can use this table to organize all of the data! Sort through and find venues by using the above websites, contact the venues directly, and then add the information directly to this table so that you can easily compare the venues.

Note: you know how I said the perfect website listing all the venues doesn't exist? Well if you're shopping for a venue in Northern California or Santa Barbara, then you're in luck! I included actual data that I collected from our venue research. There's no guarantee that the numbers are the same, you'll still need to contact the venue, but it's a place to start.

Caterer Research Table

As with venue shopping, caterer research can be cumbersome. If your venue doesn't include a caterer, then you can use this table to collect the data from your favorite caterers to shop and compare.

Night-of Hotel Table

You want your first night to be extra special, and it can be confusing finding a hotel. Sites like Kayak and Hotels.com don't always list the same hotels, so it's hard to use one single website to do your research. Use this table to add hotels that you find so that you can come to a decision easier on where you should spend that special time with your loved one.
