Filming and photography requests

As a not-for-profit community space we ask that you request permission before planning your shoots, and that you understand that there will be fees associated- fees that provide valuable support to our organisation, space and community. *There are a few things to know* ∙ Commercial filming and photography on site is likely to require a Location Agreement. ∙ You must make your enquiry at least 14 days in advance of your first shooting date. ∙ We may ask for a production schedule, shoot plan or other details to help us decide whether to take a booking. We reserve the right to refuse your booking request. *There will be charges* ∙ Once we have some detail from you we can give you an indication of costs. The scale and sources of our charges will vary from shoot to shoot. ∙ Most venues, spaces or rooms have a booking charge. ∙ Some venues require specific staff to be present. At the discretion of Collingwood Yards, a staff member may be required to oversee the shoot for the duration of medium to large impact shoots. ∙ In addition to all permit fees there may also be a fee for tenanted locations (to be negotiated with tenants directly) or shared spaces. *There will be paperwork* ∙ You must hold $20 million of Public Liability Insurance in respect to any one claim. ∙ You must hold employers’ indemnity insurance cover including workers compensation insurance in respect of all your employees for the period of the booking. ∙ If the shoot causes any damage, you will be charged for fixing it. *There may be conditions* Specific conditions will vary according to the nature of the shoot. For example: ∙ We may require that filming is not identified or associated with Collingwood Yards or specific tenants. ∙ We may require that captured media is only used for specific purposes. ∙ We may require that images are shared with us for approval before publication. ∙ We will have specific architectural views and spaces that we will not allow to be used for commercial shoots.

Depending on the level of risk identified with your proposed event, CAP will discuss with you on a case by case basis risk management requirements, looking to minimise organisational burden without compromising safety considerations. Low Risk Events should have: — Risk Management Plan — Simple Emergency Management Plan — Site Plan/Map — Public Liability Insurance Certificate of Currency Medium Risk Events may be required to supply or organise: — Risk Management Plan — Emergency Management Plan — Site Plan/Map — Public Liability Insurance Certificate of Currency — Stakeholder Meetings — Event Operations Centre (EOC) — EOC Log — Licences/Permits — Contractors insurances and SWMS High Risk Events will be asked to supply and organise: — Risk Management Plan including principal risk assessment and sub risk assessments — Safety & Emergency Management Plan — Warden Handbook — Site Plan/Map — Public Liability Insurance Certificate of Currency — Stakeholder Meetings — Event Operations Centre (EOC) — EOC Log — Safety & Emergency Management Planning Committee — Table Top Scenario Testing recommended Licences Permits — Contractors insurances and SWMS
